Learning for Pleasure, Brentwood (LfP) collects and processes personal data
necessary to support its legitimate interests as a membership charity and
provider of educational courses. We use the information provided by members,
visitors, lecturers, and prospective lecturers to administer courses and to
communicate about current and future activities.
For members and visitors, this includes name, address, telephone number, and
email address. Members may also provide an emergency contact name and number.
For lecturers and prospective lecturers, we collect name, address, telephone
number, email address, and curriculum vitae.
How your data is stored and shared
Personal data is stored securely, primarily in digital form and, where
appropriate, in paper format. Access is limited to members of the LfP Committee
who require it to carry out legitimate charity functions, such as contacting
members or lecturers in the event of last-minute cancellations, technical
issues (e.g. Zoom), or similar operational needs.
Data is not shared beyond the LfP Committee or with other members. The Chair of
the Future Programme Planning Sub-Committee has access to prospective
lecturers’ data only.
Updating or removing your information
You may request to view, amend, or delete your personal data at any time by
contacting the Chairman or Course Administrator, verbally or in writing. We may
request proof of identity before processing such requests.
Members’ and visitors’ digital records are deleted no later
than 24 months after the end of each academic year (30 June), unless the
relationship is renewed. Paper records are securely shredded. Lecturers’ and
prospective lecturers’ data is retained for future reference unless a deletion
request is received.
Policy administration and compliance
This policy is provided to new members, circulated when programmes are issued,
and shared whenever updates are made. It is also available on the LfP website.
LfP is not required to register with the Information
Commissioner’s Office or appoint a Data Protection Officer. The Chairman is
responsible for ensuring compliance with the General Data Protection Regulation
(GDPR).
We do not process special category data or information relating to
individuals under 18.
Financial records
Personal data contained within financial and accounting records is retained for
a minimum of six years, in line with legal requirements.
